How to create labels in Microsoft Word

We've had many requests for tips on how to do ACT! mail merges using Microsoft Word as your word processor. Here are the steps on how to print labels using Microsoft Word and ACT!:

  • Launch Microsoft Word outside of ACT!
  • Open the Word doc where you want to create your mail merge
  • On the Tools menu, click Mail Merge
  • Under the Main Document, click Create, then click Mailing Labels
  • Click Active Window or New Document as appropriate
  • Under Data Source, click Get Data, and then click Open Data Source
  • Change the File Type to dBase Files (*.dbf)
  • Change the Look in location to your ACT! database location
  • Click and Open the desired ACT! database
  • Click the dBase Files, then click OK
  • Click Setup Main Document
  • Click the Printer feed method and Label Product and Number
  • Click Ok
  • Click Insert Merge Field on Toolbar
  • Click the desired merge fields (Name, Address, City, State, Zip)
  • If you want to save this merge, on the file Menu, click Save As

How to print an address book from ACT!

Sometimes its necessary to print out your ACT! address book and take it on the road with you. To do this, just follow these simple steps:

  • Open the desired ACT! database
  • Click on the File menu, and choose Print
  • From the Printout type drop-down, select Address Book
  • From the list of Address Book formats, select the desired format of the Address Book
  • (Optional) From the Print dialog, click Options to customize the Address Book. Change the layout, sort order, fonts, etc. Click OK.
  • From the Print dialog, click Print Setup to change the destination printer, paper size, and orientation. Click OK.
  • Click Print.

How to perform advanced lookups

Often times a basic lookup in ACT! is just not good enough for the real details you are looking for. To find this detailed information, you will want to perform an advanced query. To do this, just follow these steps:

  • Open your ACT! database
  • Click Lookup, choose By Example
  • Select an option from the ID/Status drop-down, or type in the item you wish to search on. For this example, we'll use "director"
  • Click the Query menu and choose Convert to Advance Query. You will see a blank white screen with an entry similar to the following:((ID/Status = "Director"*))
  • Highlight (only) the equals sign in the above text
  • In the Operators section of the Query Helper dialog box, highlight the 'Contains' entry, and click the Insert option. Now, the query should look like this: ((ID/Status CONTAINS "Director"*))
  • Close the Query Helper dialog box, then remove the asterisk (*) at the right end of the query
  • Now it should look like this: ((ID/Status CONTAINS "Director"))
  • Then, to run the query, click the Query menu and select the Run the Query option
  • Click Yes to the question, "Do you want to save the query?"
  • Select Replace lookup in the ACT! Run Query Options dialog box. You should now have all contacts in the current lookup that have the selected entry
